Use of cabins is by reservation only. OPO cabins may be reserved up to six months in advance by Dartmouth alums and benefits-eligible employees only. DOC cabins may be reserved up to four weeks in advance by Dartmouth students with DOC membership, and up to three weeks in advance by everyone else.
Reservations may be made through the Outdoor Programs Business Office — in person in 119 Robinson Hall, or by calling (603) 646-2834 — during business hours: weekdays, 8:00 am to noon and 1:30 to 3:30 pm. Reservations and availability questions will not be accepted by email or fax. The office is closed on weekends.
Reservations must be made in the name of one person (not an organization) — that person must accompany the group and is responsible for the actions of the group at the cabin. The Grant Caretaker is authorized to request identification.
Reservations run from noon to noon (cabin should be completely cleaned and vacated before noon). September through December, cabin reservations in the Grant initially may not exceed three nights, nor may more than one cabin be rented concurrently — but if there are still days available before or after the reservation less than a month out, the reservation may be extended by two days to a maximum stay of five days. During high demand periods, the office may establish a minimum time period between reservations by a party.
Fees are charged per individual and the person who made the reservation must provide a list of names at the time of payment in order for fees to be determined. Group size may not exceed the capacity of the cabin (nor is tenting permitted around the cabins or anywhere in the Grant).
Payments for OPO cabin reservations are due — in full — thirty days before the reservation begins. Failure to pay on time may result in the cancellation of the reservation and the assessment of a cancellation penalty fee (see below). For OPO cabins, an e-mail will be sent out about sixty days before the reservation with all information needed to complete the reservation.
Payments for DOC cabin reservations are due before keys or lock combinations are issued. For DOC cabins outside of the Grant, all of which are secured by combination locks, this means payment is due any time before the reservation begins. For DOC cabins inside the Grant, for which keys are required, payment is due at the time of key pick-up for locals, and about ten days prior for mailed keys.
Payments may be made by cash, check, DA$H, Visa or Master Card (we do not take American Express or Discover). Checks should be made out to Dartmouth College and mailed to: Outdoor Programs Office, Cabin Reservations, P.O. Box 9, Hanover, NH, 03755. Please return keys to this address.
Misrepresentation of number of party members or membership status for a cabin reservation will result in the fee being doubled. Failure to pay any fee for a cabin reservation will result in the revocation of cabin use privileges and may result in loss of Outing Club membership.
Flat per-night Educational Group rates are available for approved educational organizations (such as schools, youth groups, etc.). To get your organization approved for Educational Group rates, please write the Director of Outdoor Programs at PO Box 9, Hanover, NH 03755. Ask to have your organization approved for Educational Group rates for DOC cabins, and explain your organization’s educational goals. Approval may take a few weeks, so please plan ahead.
Dartmouth faculty using DOC or OPO cabins with undergraduate students as part of an academic class are entitled to steep discounts. This is listed as the "Academic" rate in the charts.
Educational and Non-Profit organizations (such as schools, youth groups, 501(c)3s, etc.) are eligible for discounted rates for DOC and OPO cabins. To get your organization approved for these rates, please e-mail Julie Bell. A decision will be made by the Director of Outdoor Programs on a case-by-case basis. Provide information by answering the following questions:
- The name and educational nature/mission of the organization
- The educational purpose of the cabin stay
- The planned educational activities that will be conducted during the cabin stay
Approval may take a few weeks, so please plan ahead.
DOC cabins outside of the Second College Grant are secured by combination locks. Lock combinations will be provided to cabin renters upon full payment, and no keys are necessary.
Access gates, the dumpster for trash and most cabins in the Second College Grant are secured by keyed locks. Keys must be picked up at the Outdoor Programs Business Office during normal business hours (weekdays, 8:00 am to noon and 1:30 to 3:30 pm). Arrangements can be made for people coming from out of the area to have their keys mailed to them with padded return envelopes.
A $10.00 key deposit is due with the rental fee (if paying by check, please write a second check for key deposit for easy return or disposal), which is forfeited if all keys are not returned within five days after the reservation. In addition, there will be a $25.00 charge — per key — for keys lost entirely (i.e. $10 for late keys, $25 per key for lost keys — and most cabins in the Grant require a gate key and a cabin key, so that would be a $50 charge if they are lost!). After hours, keys may be returned in the drop-box in the door of the Business Office.
OPO cabin reservations may be cancelled with full refund up to thirty days before the reservation. Between ten and thirty days before the reservation, cancellations forfeit half of the rental fee or $30.00 per night, whichever is greater. No refunds will be given for cancellations fewer than ten days prior. After the list of guests has been submitted, no refund will be given for individual cancellations, though replacements and additions are permitted.
DOC cabin reservations may be cancelled (during business hours) with full refund up to seven days before the reservation. There is a $10.00 per night charge for cancelling a DOC cabin reservation fewer than seven days prior.
For all cabins, individuals added after the reservation begins will be charged at twice the regular rate.
No refunds will be given for cancellations owing to weather conditions.
